Call routing
Call routing is the logic between a ringing number and a person answering. It covers menus, business hours, ring groups, queues, fallbacks and the order in which they apply.
Call routing is the set of rules a business phone system uses to decide where each incoming call goes. Rules can depend on the number dialled, the option a caller chooses, the time of day, the caller's number, and which staff are free. Routing connects the building blocks of a phone system: the auto attendant, ring groups, call queues, voicemail and forwarding. Good routing gets callers to the right person quickly and never lets a call disappear.

What it means
Every call that reaches a business phone system follows a path. The number dialled selects a starting point. A business-hours rule chooses the day or night version. A menu offers choices. Each choice leads to a person, a group or a queue. If nobody answers, a fallback catches the call. Call routing is the name for that whole path and the rules at each step.
The rules can be as simple as 'ring the front desk, then voicemail' or as layered as 'French callers to the Montréal queue during hours, overflow to Toronto after two minutes, on-call cell phone for the emergency option at night'. The right amount of routing is the least that handles every call the business actually receives.
How it is used in a business phone system
- By number: the main number reaches the menu; a direct number reaches one person; a campaign number reaches sales.
- By time: separate rules for business hours, after hours, weekends and holidays.
- By choice: menu options route to departments; a language prompt routes to English or French flows.
- By availability: ring groups and queues deliver the call to whoever is free; fallbacks handle the case where nobody is.

What is the most common call routing mistake?
Leaving a dead end. A menu option that rings an extension with no fallback, a night greeting with no way to leave a message, or a queue with no overflow means some callers simply hang up. Every path should end at a person, a voicemail box someone checks, or an AI receptionist that takes the details. The second most common mistake is a menu that is too long.
Can call routing send calls to a cell phone?
Yes. A rule can ring the mobile app on a cell phone as part of a group, as an after-hours on-call destination, or as the fallback when the office does not answer. Using the app rather than plain forwarding keeps the business number as caller ID, lets the person transfer the call back, and records the call in the system's history.
