How does the AI hand a call to a real person?
The AI transfers a call to a person in three situations: the caller asks for one, the topic is on the escalation list you set (for example complaints, emergencies or anything involving money), or the AI is not confident it understood. It rings the extension, ring group or queue you chose, can announce who is calling and why, and if nobody answers it takes a message and sends you the transcript.
When a transfer happens
- The caller says anything like "speak to someone", "real person" or "agent". This always works; you cannot configure it away.
- The caller mentions a topic on your escalation list. You decide the list at setup: billing disputes, urgent medical questions, legal matters, existing-customer complaints, anything you prefer a human to hear first.
- The AI's confidence is low after one clarifying question. Rather than guess, it offers to transfer or take a message.
- A rule says so: for example, all calls from existing clients during business hours go straight to the front desk.
Where the call goes
A transfer target can be a named extension, a ring group, a call queue or an external number such as an on-call cell phone. You can set different targets by topic and by time of day: sales questions to the sales group during the day, urgent matters to the on-call line after hours, everything else to voicemail.
The AI can do a warm handoff, where it tells the person who is calling and why before connecting, so the caller does not have to repeat themselves. In the admin portal this is configured under the AI receptionist's escalation settings; a 3CTel specialist can make this change for you.
What happens if nobody picks up
If the transfer rings out, the AI comes back on the line, apologizes, and offers to take a message or book a callback. It records the caller's name, number and reason, marks the message as an attempted transfer, and sends the transcript to the people you chose. Callers are never left on hold indefinitely or sent to an empty voicemail box.
Testing your escalation rules
Before going live, call the temporary number and try the phrases your callers actually use. Ask for a person mid-sentence. Raise a topic from the escalation list. Let the transfer ring out on purpose. Adjust anything that does not feel right; the rules are plain settings and can be changed at any time.

Can I stop the AI from transferring at all after hours?
Yes. After-hours rules can send every request to a message or a booking instead of a transfer, except for an urgent path you define, such as an emergency line that always rings the on-call phone.
Does the person taking the transfer see what was said?
With a warm handoff the AI announces the caller and the reason before connecting. The full transcript is also available in the call log within moments of the call ending.
What if the caller is angry or upset?
You can list frustration cues as an escalation trigger so the AI transfers promptly rather than continuing. It stays polite, does not argue, and never hangs up on a caller.
