My desk phone shows offline or no dial tone — what do I check?
A desk phone that shows offline, unregistered or no service has lost its connection to the 3CTel platform. The phone itself is rarely at fault. Check in order: is it powered, is the network cable connected to a live port, does it have an IP address, and can other devices reach the internet. Most cases are resolved by reseating the cable and restarting the modem, router, switch and phone in sequence.
Step by step.
Check power
Confirm the screen is lit. If the phone is powered by the switch (PoE), try another port; if it uses a power adapter, confirm the adapter is plugged in and the light on it is on.
Check the cable and port
Reseat the Ethernet cable at both ends. Make sure it is in the phone's Internet or LAN port, not the PC port. Try a cable and port known to work, such as one from a working phone.
Check the phone has a network address
In the phone's status or network menu, look for an IP address. No address, or one starting 169.254, means the phone is not reaching your router. Restart the switch and router.
Restart in order
Power off the modem, router, switch and phone. Turn them on in that order, waiting for each to come online. Then wait two minutes for the phone to register.
Check other devices
If computers on the same network cannot reach the internet either, the problem is the internet connection. Contact your internet provider.
Check for a new router or firewall
If the phone stopped working after a router change, SIP ALG or a firewall rule may be blocking registration. Disable SIP ALG and confirm outbound traffic is allowed.
Contact 3CTel
If the phone has an IP address and the internet works but it still shows unregistered, contact support with the phone model and the extension. The phone may need a configuration refresh.
What the phone's status message means
- Network unavailable or no IP: the phone is not reaching the router; cable, port or switch.
- Registering or unregistered with an IP address: the phone reaches the network but not the platform; router, firewall or configuration.
- Registered but no dial tone on lift: often a handset cord or the account line key; try speakerphone.
- Blank screen: no power; PoE port or adapter.
Common causes after a change
Phones that worked for months and then went offline usually did so because something changed: a power outage that left the switch in a bad state, a new router from the internet provider with SIP ALG on, a firewall update, or a cable moved during a desk shuffle. Ask what happened just before the phone went offline; the answer is usually the cause.
Keeping calls flowing in the meantime
While a desk phone is down, the user can sign in to the desktop or mobile app and keep receiving calls to their extension. The phone works but one line key shows a red light. Why?
A red or flashing line key on a phone that is otherwise registered usually means that particular line or account failed to register. Restart the phone; if it persists, contact support to refresh the configuration.
Can I plug the phone into any network port?
Any live port on the same network normally works. If your office uses a separate voice VLAN, phones must be on ports assigned to it. Your IT provider or 3CTel specialist can confirm how the ports were set up.
Does the phone need a static IP address?
No. Phones receive an address from your router automatically. A static address is only needed in specific network designs, and would have been set up deliberately during installation.
