Business phone systems for Calgary businesses
Many Calgary businesses have more people in trucks than at desks. The phone system has to reach a dispatcher, a field crew and an office on the same number, keep the 403, and work on Mountain Time while customers in Toronto are already an hour ahead of lunch.

A Calgary business phone system from 3CTel keeps your 403, 587 or 825 number and routes calls to office staff and field crews on desk phones, desktop apps and mobile apps. Schedules run on Mountain Time, with after-hours paths for emergency work. Business SMS runs on the same number. Setup is remote, tested on a temporary number, and the port from your current carrier is scheduled with you.

Calgary numbers: 403, 587 and 825
403 is the long-standing Calgary and southern Alberta code and the one customers recognize. 587 and 825 overlay the whole province, so they are local in Calgary and Edmonton alike. New 403 numbers depend on availability; 587 and 825 numbers are equally local and usually easier to get.
An existing number is ported from your current carrier regardless of code. Companies with a Calgary head office and an Edmonton yard often keep a 403 and a 780 number on the same system, each ringing its own site first.

Energy services, trades and logistics companies describe the same problem: the office number rings a desk nobody is sitting at. This flow is the one most often built for them.
Main menu with two options
'For dispatch or a service call, press 1. For accounts, press 2. Or stay on the line.' Most callers want option one and reach it in seconds.
Dispatcher ring group on mobile
Option one rings the dispatcher's desk phone and mobile app together, then a second dispatcher after a set number of rings. Whoever is free picks up.
Crew reachable by extension
Each crew lead has an extension on the mobile app. The dispatcher transfers a customer to the crew on site by name, and the crew's outbound calls show the company number.
SMS from the company number
'Technician arriving in 30 minutes' goes out as a text from the main number, and the customer's reply lands in a shared inbox the office can see.
After hours
At closing, the same number plays a closed greeting with an emergency option that rings the on-call person, and everything else goes to voicemail with a transcript.

| Scenario | How it is handled |
|---|---|
| Toronto head office calls at 8 a.m. Eastern, 6 a.m. Mountain | The Calgary number's after-hours path routes to an eastern site or the AI receptionist until Calgary opens. |
| Calgary and Edmonton sites on the same schedule | Both sites share Mountain Time; one schedule and one Alberta holiday calendar can cover both. |
| Field crews working extended summer hours | A seasonal schedule extends dispatch hours without changing the office schedule. |
| On-call rotation for emergency work | The emergency option rings a ring group whose membership is changed weekly, or on a schedule. |

Planning is a call with a specialist who maps who answers what, including who is on call. The system is built and tested on a temporary number, desk phones for the office are shipped pre-configured, and crews install the mobile app. The port is scheduled once you have heard the flow work.
Emergency calling uses the registered service address for each device, confirmed at setup. Mobile app users working from a yard or a site should understand the limitations of 9-1-1 on VoIP, which Canadian providers are required to explain.

Can the office see which crew a customer spoke to?
Yes. Call history shows which extension answered or was transferred a call, whether it was a desk phone or a mobile app. Call analytics summarise volume by option, by ring group and by hour, which helps decide whether the dispatch group needs a third member during the busy season.
How does the on-call rotation work after hours?
The emergency option in the closed greeting rings an on-call ring group. Membership is changed by the administrator, or the group can follow a schedule so that one person is on call each week. If the on-call person does not answer within a set time, the call can roll to a second person or leave an urgent voicemail that is texted to the team.
Do field staff need a company cell phone?
No. The mobile app runs on the phone each person already carries. Business calls ring through the app and show the company number; personal calls are untouched. When someone leaves, their extension is reassigned and the company number never leaves with them. A company handset is still an option where the business prefers it.

Yes. Calls route to whoever is in the ring group regardless of where they are. A 403 number can ring a Calgary dispatcher first and overflow to an office in another province.
Sometimes, subject to availability at the time. 587 and 825 numbers are local across Alberta and are usually available immediately. Existing 403 numbers are always ported as they are.
The mobile app needs a data or Wi-Fi connection. Where coverage is poor, calls can be forwarded to the cellular number as a fallback, configured with you during planning.
Yes. Recording can be enabled for selected groups. Canadian law generally requires that callers be informed that a call is recorded; 3CTel configures the announcement with you.
