AI agents, chat and automation

Can the AI book meetings into my calendar?

Yes. AI agents on voice, website chat and text can check availability in a calendar connected during planning, offer open times that fit your rules, book the meeting and send a confirmation by text or email. They can also reschedule or cancel an existing booking. Common calendar targets are Google Workspace, Microsoft 365 and booking tools with an API; a 3CTel specialist confirms your calendar before activation.

How a booking works

The customer says or writes that they want a meeting. The agent asks the questions you have defined, such as which service, which person or team and whether they are new or returning. It reads availability from the connected calendar, offers times that match your rules, and books the slot. The customer receives a confirmation, and the meeting appears in the calendar with the details the agent collected.

Reminders can be sent by text or email at intervals you choose. If the customer replies to reschedule, the agent offers new times and updates the booking.

Rules you set

  • Which calendars are visible to the agent, and which people or rooms can be booked.
  • Working hours for each person, minimum notice, and how far ahead a booking can be made.
  • Buffer time between meetings and a daily or weekly cap on bookings.
  • Which meeting types can be self-booked and which need a person to confirm first.
  • What details to collect before booking, and what confirmation and reminder messages say.

Bring the name of your calendar or booking tool to the planning call. Availability of the connection is confirmed before activation, and nothing is billed until then.

When no slot fits

If the customer cannot find a suitable time, the agent does not leave them stuck. Depending on your rules it can offer a callback at a time the customer chooses, take a message with the request and preferred times, or hand off to a person who can find an exception. All of these produce a task or transcript for your team, so the request is not lost.

Related questions.

Which calendars can be connected?

Google Workspace and Microsoft 365 calendars, and online booking or practice-management tools that expose an API, are common targets. The connection is delivered via API, webhooks or an automation platform, scoped during planning and confirmed before activation.

Can the agent book for a team rather than one person?

Yes. It can offer the first available time across a group, or let the customer choose a specific person. Each person keeps their own hours and buffers.

What if two people try to book the same time?

The agent checks availability at the moment of booking and writes the meeting immediately, so the second person is offered the next open time instead of a double booking.

Can customers reschedule by replying to the reminder?

Yes, if you allow it. The agent recognizes the reply, confirms which booking the customer means, and applies the change according to your notice rules.
