What tasks can the AI perform in my CRM after a call or message?
Once your CRM is connected, the AI can act on what happened in a call, chat or text: create or update the contact, log the call with a summary, open a ticket with a severity, schedule a callback, and draft a follow-up email or text for a person to send. Each task type runs in a mode you choose: automatic, one-click approve or suggest only. Every action is recorded in an audit trail and can be undone.
Tasks the AI can perform
- Create or update a contact: name, phone, email, company and any fields you map, such as language preference or lead source.
- Log the interaction: a summarized call, chat or text attached to the contact, with the outcome and any commitments made.
- Open a ticket: a helpdesk or CRM case with a summary, a category and a severity taken from your rules.
- Schedule a callback: a task for a named person or team at the time the customer asked for.
- Draft a follow-up: an email or text based on the conversation, saved as a draft for a person to review and send.
- Update a deal or file stage when the conversation meets a condition you define, such as a booked consultation.
Approval modes
Every task type has its own mode. Automatic means the AI performs the task and records it. One-click approve means the AI prepares the task and a person confirms it from a notification or the admin portal before it is written. Suggest only means the AI proposes the task as a note and a person does the work. Most businesses start with suggest only or one-click approve, then move low-risk tasks such as call logging to automatic once they trust the results.

Audit trail, undo and override
Each action the AI takes is recorded with the time, the conversation it came from, the fields it changed and who approved it. The record is visible in the admin portal and, where the CRM supports it, as a note on the contact. An administrator can reverse an action, and a person can edit or discard a draft before it is sent. Tasks the AI could not complete, for example because a field was missing, are flagged for a person rather than silently skipped.

Which CRMs does this work with?
It depends on what your CRM exposes. Systems such as HubSpot, Salesforce, GoHighLevel and Zoho are commonly connected via API, webhooks or an automation platform. The connection is scoped during planning and availability is confirmed before activation.
Can the AI delete records?
No. It creates and updates records and drafts. Deletion is not an action it is given, and any change it makes is recorded and reversible by an administrator.
What if the AI matches the wrong contact?
Matching rules use the phone number, email and name you specify. When a match is uncertain the AI creates a suggestion for a person instead of updating a record, and the audit trail shows what it considered.
Who receives the approval requests?
You decide by task type: the person who took the call, a team inbox or a manager. Requests can arrive by email, text or in the admin portal, and unapproved tasks stay pending until someone acts.
