AI receptionist · For 3CTel customers
Where do I see what the AI said to callers?
Each call the AI handles produces a written transcript, a short summary, and any outcome such as a booking or a message. They appear in the call log of the admin portal within moments of the call ending, and can be emailed to chosen people, sent as a text alert for urgent messages, or delivered to your CRM via API, webhooks or an automation platform scoped at setup.
Step by step.
Open the call log
In the admin portal, open Calls → AI Receptionist. Each row shows the caller number, time, language, outcome (booked, message, transferred, answered) and duration.
Read the summary
Click a call to see a two- or three-line summary: who called, what they wanted, what the AI did. This is usually enough to act on.
Expand the transcript
Below the summary is the full turn-by-turn transcript. Use it when a caller disputes what was agreed or when you are tuning the script.
Set up delivery
Under Notifications, choose who receives summaries by email and whether urgent messages also go by text. A 3CTel specialist can make this change for you.
Review weekly
Filter by outcome "message" and "transferred" once a week to spot questions the AI should learn to answer itself.
What is in a transcript
- Caller's number and, where available, name and whether they are an existing contact.
- The language of the call and any mid-call switch.
- Every question the caller asked and every answer the AI gave.
- Actions taken: appointment details, message text, transfer target and whether it was answered.
- Flags: escalation triggered, low confidence, caller requested a person.
Getting transcripts into your other tools
Summaries and outcomes can be pushed to a CRM, help desk or spreadsheet via API, webhooks or an automation platform. This is scoped during planning and availability is confirmed before activation. A common set-up is a new lead in the CRM for every first-time caller, with the summary as the first note.
Who can see them
Access follows the roles in your account. Administrators see everything; you can give a manager access to their team's calls only, or give front-desk staff messages without full transcripts. Retention length is set with you at activation, and recordings and transcripts can be deleted on request.
Related questions.
Is there an audio recording as well?
Yes, the audio is kept alongside the transcript for the retention period you chose. Callers are told at the start of the call that it is recorded, in line with general Canadian practice.
How accurate are the transcripts?
Accurate enough to act on for names, numbers and requests in normal conditions. Unusual names and poor cell reception reduce accuracy, which is why the AI reads numbers back to the caller before ending the call.
Can I search past calls?
Yes. The call log can be filtered by date, outcome, language and caller number, and searched by keyword within summaries and transcripts.
